HDS Space Reservations

HDS Space Reservations Form (CSU Employees/Affiliation Only)


    All residence halls are facilities of Colorado State University’s Housing & Dining Services. Their use is subject to the regulations prescribed by Colorado State University and the Department of Housing & Dining Services. Requests are considered TENTATIVE until a confirmation email and number is received.

    *Please allow 48 hours response time.*


    The form below can be used to request the following meeting/event space:

    • Lower Level Durrell Rooms
    • Laurel Village Pavilion Space (only available for Housing & Dining Services usage)
    • Newsom Event Center
    • Edwards Event Center
    • Ingersoll Seminar Room and Meeting Room
    • Aspen Conference Room
    • Reservations are open to all CSU departments.
    • Room charges may apply. Notification will be given if charges are applicable to your group.
    • Housing & Dining Services Departments will not be charged for space use.
    • Only Student Organizations affiliated with Housing & Dining Services will be considered.
    • Student Organizations NOT affiliated with Housing & Dining Services will not be considered. Please feel free to inquire if you are unsure of your affiliation status with Housing & Dining.
    • All groups must have a CSU Kuali account number to reserve space.

    Space will not be scheduled in advance until the following dates have been reached:

      • Requests must be submitted no less than 10 business days in advance for full consideration; including set-up and catering needs.
      • Requests submitted less than 10 days in advance will not be guaranteed catering or set-up needs requested.
      • Absolutely NO outside food and beverage is allowed in the meeting spaces. Housing & Dining staff reserve the right to ask your group to vacate the space immediately if found using outside food and/or beverages.
      • All food and beverage must be requested through Residential Dining Services AT LEAST 10 days prior to your event to ensure quality or product and service.

      • All set-up requests must be communicated to Conference & Event Services.

      *Phone Jacks are NOT active (with the exception of Durrell Room 2). Activation requests MUST be submitted to Conference & Event Services at least (10) business days prior to the event day. The fee for phone activation will be charged to the booking group. One Ethernet port in each room is active.

      I understand and agree that my organization/group will be responsible and accountable for any damages to the facilities or equipment used which occur as a result of our activities. I also realize that if our organization/group fails to abide by this contract, our university account will be charged and future use of these facilities could be revoked.

      By checking the box below and entering my name, I declare that I have read and understand the above guidelines and agree to comply with them. I will insure that the facility is not damaged in any manner by virtue of such use, and I understand that I am fully responsible for any damages that may occur during my event.
